Millennium Volleyball Club Policies & Procedures

Club Mission 

Millennium Volleyball Club and the Cedar Point Sports Center believe that youth sports promote the formation of healthy life-long habits. The Millennium Volleyball Club aims to improve our community by teaching values like sportsmanship, teamwork, respect, responsibility, and integrity. 

Millennium Volleyball Club will aim to provide a healthy environment for young athletes to grow through sport. While each athlete’s journey will be different, we believe surrounding them with a supportive cast of coaches, parents and teammates will help them to reach their personal goals. 

Millennium Volleyball Club will hold not only its players, but also, its coaches and parents to the highest standards. Without all three of these groups operating in harmony, your athlete cannot reach her or his fullest potential. 
 

Conduct 

Millennium Volleyball Club will abide by all USA Volleyball and state association rules. 

While representing Millennium Volleyball Club, all athletes, parents, and coaches are expected to act in a responsible manner. While at tournaments in our own venue, or visiting another venue to compete, we expect all involved with Millennium Volleyball Club to act with dignity, speak with courtesy and play with pride. Any instances where the club directors feel the club is not represented positively will result in disciplinary action, including possible removal from the club. In the event the club removes an athlete, no refunds for fees will be given. 

The Millennium Volleyball Club does not guarantee equal playing time at any level. It is our belief that the fees paid are for instruction during practices, and that playing time is determined through attendance, effort, attitude, and performance during those times. 

All players, parents and coaches will be required to sign a Millennium Volleyball Club Code of Conduct before participating in practices or play dates of any kind. 

Tryout Rules

Any athlete trying out for Millennium Volleyball Club does so understanding that they may be asked to play on a Regional or American team. Athletes are placed on teams based on skill level. Teams will be formed immediately following tryouts. The pricing structure for each team can be found in the index of the manual. 

All athletes should arrive no later than 15 minutes prior to the start of tryouts. This will allow for ample time to fill out any information needed. Athletes should bring a water bottle to each tryout. Equipment will be provided by the club. 

Parents are welcome to attend tryouts, but we ask that you refrain from interacting with your athlete to allow them to compete without distraction. Upon accepting a roster spot with Millennium Volleyball Club, all athletes and parents must attend a mandatory team meeting prior to the season. Dates will be determined based on seasonality

Practice Rules

Millennium Volleyball Club expects the following during practice sessions 

  • Coaches and players should attend each session
    • If a player must miss a practice or play date, that athlete must notify the coach via email. Excused absences would fall under the following:
      • Illness, School related extra-curricular activity, Family Emergencies
    • Unexcused absences will be handled by coaches on an individual basis and can lead to a reduction in playing time
  • Coaches and players should arrive 15 minutes prior to each practice session
  • Players should be willing to help setup and take down all equipment needed for practice that day
  • Players and coaches should always interact in a respectful way
    • NO PARENTS ARE TO APPROACH A COACH DURING A PRACTICE IN A DISRESEPCTFUL WAY
      • Any questions or concerns must be handled based on the Parental Code of Conduct 
  • All court and bench areas should be left cleaner than the way they were found

Tournament Rules

Millennium Volleyball Club teams will participate in tournaments and play dates that offer competitive and fun environments to showcase our player abilities. During those competitions, the following is expected; 

  • Players, Coaches and Parents will represent the club positively at all times
  • No playing time will be guaranteed during these competitions
  • Players must wear the club uniform during competition
  • At no time should a player leave the tournament without notifying the coach
  • All team members must stay until all officiating duties have been completed
  • Players shall respect all coaching decisions and remain positive with coaches at all times
  • Players shall respect opponents, officials and teammates at all times
  • Leave the playing area nicer than when we arrived. Clean up all trash, bottles, clothing, etc. at the team bench and in our camping area.
  • No parent shall approach a coach regarding playing time, coaching decisions, etc. All interactions with the coach shall remain positive. Any questions or concerns must be handled via the Parental Code of Conduct

Violation of Club Rules 

Any violation of club rules, policies or procedures can result in suspension / removal from the club. Examples of these are, but are not limited to; 

  1. Disrespectful behavior to teammates, coaches, officials or opponents by a player or a parent
  2. Abusing the absence policy for practices or matches
  3. Damaging club property, or damage of a venue other than the Cedar Point Sports Center
  4. Misuse of one’s personal social media platforms to slander the club in any way

Parent Responsibilities 

At Millennium Volleyball Club, we believe the parents play an important role in the development of the athlete. While situations may become difficult, we institute policies to ensure that all parties involved can feel heard and can ideally work towards a positive outcome. 

First and foremost, parents are never to approach a coach or staff member with a “coaching decision” question during or after a match. All issues are to be handled via the Parent Code of Conduct. Any verbal abuse of our staff, coaches, or an opposing staff, coach or official will not be tolerated and will result in immediate disciplinary action, up to and including removal from the club. 

Parents should support their child as a parent and let the expert coaches support them as a player. Parents should always strive to remember that your reaction in adverse situations has a significant impact on player development. 

We ask the following of the parents within our club; 

  • Parents will remember that children participate to have fun and that the game is for the player, not the parents
  • Parents will be positive role models by demonstrating support for all players, coaches, officials, and spectators at every Millennium Volleyball Event
  • Parents will demand that their child treat teammates, opponents, officials and coaches with respect at all times
  • Parents are to teach that doing one’s best is more important than winning, and that they should never feel defeated by the outcome of a game
  • Parents will refrain from coaching their player during practices or games and will allow coaches to fully do their job
  • Parents should have honest and positive conversations with players about long-term goals so that they can see the value in succeeding through failure
  • Parents will encourage all players to address any questions their athlete may have with the coach directly

Coach Responsibilities 

Millennium Volleyball Club will aim to provide quality coaching to all our athletes. All coaches will have submitted to background checks and will be CPR / First Aid / AED certified. All will carry necessary coaching certifications within the region.

At Millennium Volleyball Club, we understand the role that coaches play in an athlete's personal development. All coaches are expected to set positive examples for all players within the club and be role models for athletes on their team. Whether on-site at the Cedar Point Sports Center or representing the club at a tournament elsewhere, coaches are expected to represent Millennium Volleyball Club positively in all situations.

We ask the following from coaches within Millennium Volleyball Club;

  • Coaches should have set practice plans prior to arrival at club facility
  • Arrive to all practices no less than 15 minutes early to allow for setup 
    • Coaches should always be wearing the club distributed attire during practice sessions
  • Arrive to all tournaments play no later than 1 hour prior to first match to allow time for check-in, team admin duties
    • Coaches should always be wearing the club distributed attire during tournament play
  • Communicate positively with all parents, athletes and club administration
  • Set clear goals for individuals and teams prior to the season and formulate practice sessions that aim to complete those goals
  • Provide positive reinforcement at all times during practice sessions and games
  • Create an atmosphere of acceptance within the team

Player Responsibilities 

At the Millennium Volleyball Club, we believe sports teach many life lessons. Our expectations are that our coaches, parents, and athletes will all work together to create the greatest experience for our athletes. 

We ask the following from players within Millennium Volleyball Club;

  • Arrive to all practices no less than 15 minutes early to allow for setup 
    • Players should always be wearing the club distributed attire during practice sessions
  • Arrive to all tournaments play no later than 1 hour prior to first match to allow time for check-in, team officiating duties
    • Players should always be wearing the club distributed attire during tournament play
  • Communicate positively with all teammates, coaches and club administration
  • Set clear goals for themselves and teams prior to the season and formulate practice sessions that aim to complete those goals
  • Provide positive reinforcement at all times during practice sessions and games
  • Create an atmosphere of acceptance within the team
  • Represent the Millennium Volleyball Club positively in all situations, whether inside or outside the Cedar Point Sports Center.

**All players will be required to sign the Player Code of Conduct before representing the club in any practices, play dates or club events**

Grievance Procedures 

At Millennium Volleyball Club, we aim to provide a professional process to discuss any concerns that parents may have within the club. We will adopt the “24-hour rule” which will mandate that no interactions take place for 24 hours after the issue takes place. This should allow for thoughtful and productive conversations, rather than emotional ones, to take place.

After 24 hours, if you feel strongly that a situation needs to be addressed, please follow the procedures listed below. Any emergencies can be addressed immediately by emailing the club Director of Operations or Club Director.

Step 1: Millennium Volleyball Club asks that all concerns be addressed in-person between the athlete and coach initially. We expect this conversation to be cordial and open to allow both parties to speak freely.

Step 2: If the issue remains unsolved, or if the athlete has reason to believe that addressing the concern will not address the matter, the parents of the athlete are asked to submit a request for a meeting with the coach via email. We ask that meetings are never held during tournament play or match days. Coaches have been instructed not to respond to these requests to meet during competitions. These meetings should take place at the Cedar Point Sports Center, and an administrator should be present.

Step 3: If the issue remains unsolved, or the parent has reason to believe that a meeting with the coach will not address the matter, we ask that an email requesting a meeting with the coach and Club Director be sent. The Club Director will then speak with both parties separately before setting up a meeting with all parties involved. At times, athletes may be asked to join.

As a note, no meetings will be held to discuss “coaching decisions” such as playing time, etc.

Fee Payment Schedule 

Millennium Volleyball Club offers two payment options for the player fees listed below. Payments can be made in full or in two equal installments. If you choose to make installment payments, the first payment is due at the time the athlete accepts her place within the club, and the second payment is due December 1st.

Those who have not made full payments will not receive uniform packages or play in matches until payments are made.

On January 1st, 2024, no refunds will be offered for any reason.
